POSSIBLE VACANCY
INITIAL APPOINTMENT UNTIL 31 MAY 2007. The recruitment is local, i.e., from within France. We are looking for a Secretary/Assistant to provide secretarial and administrative support to the Anti-Corruption Division of the DIRECTORATE FOR FINANCIAL AND ENTERPRISE AFFAIRS. S/he will work under the supervision of the Head of Division, in close co-operation with the Administrative Assistant of the Division. Job Duties: 1. Meetings, conferences and travel arrangements • Prepare and service meetings and seminars mainly related to activities with non-member countries, including meetings outside the OECD. • Initiate and follow-up financial operations relating to meetings; process contracts and payments for consultants and experts invited to the meetings; organise travel and accommodation for participants; liaise with external partners and OECD support services; follow-up on expenditures. 2. Documents, missions and other duties • Assist with the preparation of official documents, sending texts for translation and distribution on the Service Request Portal (SRP). • Assist in the preparation of missions. Organise and maintain information files for the Division, including publications and information gathered from web sites. Perform other tasks such as typing correspondence, photocopying, filtering telephone calls and answering enquiries of a routine nature in both official languages of the Organisation. • In co-operation with the Administrative Assistant of the Division, carry out other related duties as required and ensure the smooth and efficient running of the Division in its day-to-day work. Qualifications: education, experience, communication and languages 1. Education and experience • Good level of secondary education and previous experience in administrative and/or secretarial work, preferably in an international environment. • Good knowledge of and/or experience in applying the administrative rules and procedures of the OECD and the procedures to be followed for the organisation of meetings would be an advantage. • Good knowledge of the MS office suite (Word, Excel, Outlook, PowerPoint); good knowledge of other software and applications used in the OECD. 2. Communication and OECD official languages • Ability to work independently and in collaboration with a multicultural team. Ability to establish good working relations with colleagues and officials at all levels, as well as Member and Non-Member country Delegations. • Discretion in handling sensitive and confidential matters; tact and diplomacy. Ability to establish priorities, to take initiative and responsibility and to work from general instructions, often under pressure. • Excellent knowledge of one of the two official languages of the Organisation (English and French) and a very good knowledge of the other. N.B. The successful applicant will be required to have passed the Organisation's language test.
